Purpose of the Role
The Admin and Procurement Officer will play a pivotal role in managing administrative tasks and streamlining the procurement processes for the Inclusive Voices project. This position ensures compliance with organizational and donor standards while fostering smooth operations and resource optimization.
Key Responsibilities
Administrative Operations
- Manage office operations, including scheduling, logistics, and documentation.
- Coordinate meetings, events, and workshops, including arranging travel, venues, and accommodations.
- Maintain organized project documentation and filing systems for easy information access.
- Oversee office supplies and equipment to ensure seamless operations.
Procurement Management
- Develop and execute procurement plans aligned with project goals and budgets.
- Process RFQs, evaluate bids, and oversee procurement activities efficiently.
- Maintain and update a vendor database while building strong supplier relationships.
- Ensure adherence to donor and organizational procurement guidelines.
Compliance and Reporting
- Maintain comprehensive records of procurement and administrative tasks, including contracts and invoices.
- Implement internal controls for asset management and procurement.
- Prepare regular reports for submission to the Project Director and other stakeholders.
Logistical Support
- Provide logistical support for events, workshops, and training sessions.
- Oversee inventory management, updates, and audits.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, Supply Chain, or related fields.
- 3-5 years of experience in administration and procurement, preferably in NGOs or development projects.
- Proficiency in donor-funded project procurement guidelines.
- Strong command of Microsoft Office and procurement management tools.
- Excellent organizational and multitasking abilities.
- Fluent in English and Urdu.

- Attention to detail with excellent organizational skills.
- Ability to work independently and as part of a team.
- Knowledge of disability-inclusive practices is a plus.
