Reporting to: Finance Manager
Purpose of the Role:
The Finance Assistant will provide support to the Finance Manager in handling the financial tasks related to the INGO funded disability rights project. This role is ideal for candidates with a background in finance or accounting, offering hands-on experience in financial record-keeping, expense tracking, and basic financial reporting. The Finance Assistant will ensure accurate financial documentation and compliance with donor and organizational policies.
Key Responsibilities:
- Financial Record-Keeping:
○ Assist in maintaining accurate and up-to-date financial records, including invoices, receipts, and payment vouchers.
○ Organize and file financial documents, ensuring all records are properly coded and easily accessible for audits and reviews.
○ Support the preparation of monthly expense reports and maintain a clear audit trail for all financial transactions. - Expense Tracking & Reconciliation:
○ Monitor project expenses, ensuring they align with the approved budget and financial guidelines.
○ Assist in reconciling accounts, verifying transaction accuracy, and identifying discrepancies for resolution.
○ Prepare petty cash reports and assist in managing day-to-day cash flow requirements for project activities. - Support for Financial Reporting:
○ Assist the Finance Manager in preparing financial reports for submission to Donor and internal stakeholders.
○ Gather necessary financial data and documentation to support report preparation.
○ Ensure timely submission of required financial documentation for compliance with donor requirements. - Compliance & Documentation:
○ Ensure that all financial processes adhere to donor guidelines and organizational policies.
○ Assist in implementing internal financial controls and follow up on any identified issues or discrepancies.
○ Help prepare for financial audits by organizing and providing the necessary documentation. - Capacity Building & Support:
○ Provide basic financial guidance and support to project staff on expense reporting and financial documentation requirements.
○ Assist in training sessions related to financial procedures and compliance, helping staff understand best practices.
Qualifications and Experience:
- Bachelor’s degree in Finance & Accounting, B.Com, M.Com, MBA, Business Administration, or a related field.
- 1-2 years of experience in finance or accounting roles, preferably within the non-profit sector.
- Familiarity with financial software (e.g., QuickBooks, Excel) and basic accounting principles.
- Strong organizational skills and attention to detail.
- Good communication skills in English and Urdu.
